Instructions on how to participate in a webseminar:

  1. Join the web conference at: http://www.vspan.com/ , select "Join a Webconference." Use the Participant Code: 19247030. When joining you will be asked for your name and email. Your name is the one that will appear to other participants when you make a comment or raise your hand.  Please put your company name in the description. If you have mulitple people at your site put that in parenthesis. Example: If I have 15 people in a conference room at Kodak: If would Long on as "Alison M - Kodak (15)".
  2. Join the phone conference call at:  800-573-0319  (International number: 610-312-0239) and use the same Participant Code: 19247030. Do it together! We encourage people to try to join each other in a conference room during the presentations. The benefit of others perspectives cannot be underestimated and it saves the program money in connections fees.
  3. Chatting instructions
On the right you will find a frame with three slips. The first one says Participants. Clicking on it you will get two frames. The frame in the bottom is used to chat. In order to post a comment, you have first to select to whom it will be directed. You will see on the bottom of the chat frame a drop down selection menu, where you will find as recipients of your message, the host, the presenter, all attendants, and every individual attendant's name. Once you have selected the recipient, you can type your comment, on the small screen just above the recipient selection menu. Be Careful! Many people forget this step and send a private comment to everyone online! To send the comment, you press the Send button on the right. It is possible at the end of the session to record your chat, in a special Webex file. It will be placed on your desktop.
  4. Feedback.
    Address: websemfeedback "at" mit.edu
Please write to the above address with feedback following the presentation.
Include the webseminar name in the subject and please respond with:
    1. How many people were with you at your site
    2. Quality of the content, web trasmission, sound trasmission, the whole experience
    3. New themes for upcoming seminars
  5. Technical Issues:

    Java Plug
There is a Java plug in that will be downloaded before your first WebEx conference. It is recommended that if you have not participated in a WebEx conference before, you test your computer setup by joining a WebEx's live demo (WebEx Overview) anytime during business hours (9am - 7pm ET) at http://try.webex.com/mk/get/DailyDemo . The number for technical help is 888-283-8550 at any time, during your test or during the actual conference.

    Muting
Please keep your own phones muted when you are not speaking.  If you do not have a mute button on your phone, you can press *6 to have your individual line muted by the conferencing service.  Pressing *6 a second time will un-mute it so that you can ask questions.  Questions can be submitted at any time in written format via the web and this is encouraged.

    Web explorers
The recommended browser for the vspan site is  Internet Explorer IE 6.0 with Java enabled. Other browswers might work but we cannot guarentee that they will work. Please test all browswers beforehand so that you are not delayed.

    Pop-Up Blocker
If you have a pop up blocker, you have to stop it while in the web-meeting. Otherwise you wont be able to join the web-conference.
If you are having trouble, also turn off your virus scanning software.

    Video
There is a video tab that can be selected. We don't always transmit video, the added value of the presentation is actually in the knowledge being trasmitted.
